Accessing Secure Messaging

Browser Compatibility
To use the FAI Secure Message Center, you must have one of the following browsers:

  • Internet Explorer 5.5 (or higher)
  • Netscape® 7.0 (or higher)

How to Register
Registering to receive secure messages from FAI is a simple, one-time process. After you complete this one-time security measure, accessing your secure Message Center inbox is fast and secure.

If you receive an e-mail in your current inbox notifying you of a message from FAI in your Message Center inbox (the word “securemessage” will appear in the subject line), you will need to register in order to view the message.

Go to the login page for the Secure Message Center and follow the steps below to register:

1. Select Register for a New Account.
2. Complete the registration page with your e-mail address, password, and password reminder. Select Submit Password. You will receive confirmation that your information has been submitted.
3. An e-mail will be sent to your current e-mail inbox. Click the hyperlink in the message to go to the registration confirmation page.
4. Click Continue to proceed to the Message Center login page.

Log In/User Locked Out
When you receive a new secure message from FAI, you will be notified by an e-mail sent to your registered e-mail address. Click the hyperlink in the message to go directly to the Message Center login page. You can also check your secure Message Center mailbox at any time by visiting https://messagecenter.firstadministrators.com.

At the login page, enter your registered e-mail address and password to log in to your secure Message Center mailbox. Secure messages are available for 180 days. After 180 days, messages automatically expire and are deleted from the Message Center. You may forward secure messages to FAI employees only. If you attempt to forward secure e-mails to anyone else, you will receive an error message.

If you make three attempts to log in with an incorrect password, you will be locked out of your account for 30 minutes. An e-mail sent to your registered address will alert you that you have been locked out for this time period. You may unlock your account within this 30-minute lockout by changing your password.

Compose or Reply to a Message
As a registered user of the FAI Secure Message Center, you can send or reply to a secure e-mail at any time. To compose a new secure message to FAI, you will need the e-mail address of the FAI employee you wish to contact. If you are not sure who to contact, visit the FAI contact page to find the appropriate contact.

To compose a new secure message from your secure mailbox:

1. Select the Compose tab to open the compose form.
2. Type the FAI employee's e-mail address in the To field and add a description of your message in the Subject field.
3. Type your message in the Message field.
4. Attach any documents you wish to send. Select the Attach File button under the message field and follow the prompts to attach a document.
5. Set a priority for the message, if desired. Select the down arrow on the Priority field and choose the appropriate option to set the priority of the secure message.
6. Select the Send button when your message is complete.

To send a reply message to the sender of a message, select the Reply button and follow steps 3-6.

Request a Password Reminder
If you've forgotten your password and would like a reminder, go to the Secure Message Center login page:

1. Select the Forgot your password? Send a password reminder link.
2. Enter your e-mail address in the text box and select Enter. A password reminder will be sent to your registered e-mail address.
3. Check your e-mail inbox for a notification e-mail from the Secure Message Center. The e-mail will contain the password reminder phrase you entered when you established your password.
4. Select the Return to FAI Log In in your browser window to continue.

Change Your Password
To change your password, go to the Secure Message Center login page:

1. Click on the Forgot your password? Change your password link to access the Change Password screen.
2. Enter your e-mail address.
3. Enter your new password.
4. Re-type the new password to confirm it.
5. Enter a Password Reminder Phrase.
6. Click Submit Password. A confirmation e-mail will be sent to your registered e-mail address.
7. To activate your new password, you must click the Activate link contained within the e-mail notification. You will be forwarded to a page confirming the activation was successful. Click Continue to return to the login page.

Obtain a Direct Secure Connection
For Employers, Brokers, Providers, and Other Business Associates

TLS (Transport Layer Security) is an easy way to secure a connection over the Internet to facilitate transmissions between your organization’s e-mail relay and the e-mail relay of FAI. It’s the newest version of SSL (Secure Sockets Layer) with enhanced security features – simply put, it establishes a secure encrypted “tunnel” over the Internet.

The real benefit to using TLS is that the end users see no impact. Their e-mails are sent and received securely (between specified /coordinated entities) but the user experience is unchanged. No additional training for users is needed. TLS can coexist with other secure e-mail systems or it can stand alone, and it has proven to be an inexpensive, easy-to-install, and effective tool. Its advantages include:

  • Low cost. The only cost for a TSL connection is the purchase of a standardized X.509 v3 SSL/TLS certificate with 128 bit keys if your organization does not already have one.
  • No client-side software required.
  • No registration or login required by the end user to open the secure e-mail.
  • The individual external recipient receives the secure e-mail as regular e-mail in their inbox.

Requirements to Use TSL
To use TLS to facilitate secure e-mail transmissions with FAI, your organization should meet the following requirements:

  • Manage your own SMTP e-mail relay server.
  • Have your own up-to-date SSL or TLS certificate (128 bit version) installed on your SMTP relay.
  • Have an e-mail system that is able to turn on TLS or enabled for TLS. (Most e-mail systems will support TLS.)
  • Have the willingness to turn TLS on and your own expertise to do so.

Your organization may be particularly well-suited to use TLS if you also meet the follow criteria:

  • Experience high volumes of e-mails (containing PHI)
  • Employ multiple users who conduct e-mail exchanges containing PHI with FAI
  • Exchange highly sensitive PHI e-mails (for example, medical records).

Establishing a TLS Connection
If you would like to use TLS to send and receive e-mails through a secure connection with FAI and you are the IT staff member (or equivalent) responsible for your e-mail system, please e-mail webmaster@firstadministrators.com. A TLS checklist will be provided upon request to assist you in the TLS testing process with FAI.

If your organization does not have a standardized X.509 v3 SSL/TLS certificate with 128 bit keys, you will need to purchase, install, and maintain one. Certificates can be purchased through DigiCert, Thawte, and VeriSign (among others).

Once the initial work to set up the TLS connection is made, you can send a test e-mail to FAI. Based on the results of the test e-mail, FAI will work with you to coordinate additional steps to establish a secure TLS connection.
